With all incoming calls, you have the ability to view the telephone number of the caller. If the telephone number is not familiar or you discover it is an unwanted caller, such as a telemarketer or pushy salesperson, you can opt to send the call to voice mail. In addition to the options for an incoming call, you can also create answering rules to automatically deal with incoming calls from individual phone numbers. For example, a sales person who calls every week to follow up can always be redirected to your voice mail until you are ready to make a purchase or discuss information concerning their product.

You are also able to view the phone number which the caller has dialed to contact you. The DNIS, or Dialed Number Identification Service, can help you track the phone numbers being used most often and may aid in tracking your marketing and promotional efforts.

Call Announce – How It Works

The Virtual PBX phone system Call Announce feature gives staff the insight on who is calling and the power to decide how to handle the call. Prior to being connected to a staff member, the caller is automatically prompted to state their name. They are placed on hold, accompanied by pleasant music or customized promotional messages, while the call is put through to the extension. When staff answers the phone, they are able to hear the name of the caller and then make a decision as to how to handle the call.

There are four options for call handling with the Call Announce feature:

  • Answer the call
  • Block the call
  • Transfer caller directly to the voice mail system
  • Transfer the caller to another extension

Callers are not subjected to long hold times and once staff makes a decision, the call is immediately redirected.
